Audience: Administrators, budget owners, department heads and approvers
Budgets set the spending limit for a team or a piece of work. Use this overview to choose the correct budget, then follow the task-specific guide.
CHOOSE THE RIGHT BUDGET
Department budget
Use this when an allocation belongs to a department and should cover that team's operating spend.
Project budget
Use this when money is approved for a defined project with an owner, dates and planned work.
Do not combine both purposes in one record. Separate budgets make approvals, utilisation and reporting easier to understand.
BEFORE YOU CREATE A BUDGET
- Confirm the approved amount, currency and budget period.
- Identify the responsible owner and the department or project.
- Check that the related department or project exists and is active.
- Confirm who must approve the budget.
WHERE TO FIND BUDGETS
1. Open Budget from the Spendive sidebar.
2. Use Overview to review existing budgets.
3. Use Action Required for records waiting for you.
4. Select Create Budget to begin.
UNDERSTANDING THE SUMMARY FIGURES
- Total Budgets: budgets created for the selected view or period.
- Total Allocation: the amount approved or allocated.
- Total Spent: spend already recorded against budgets.
- Available Budget: the remaining amount.
WHAT HAPPENS AFTER SUBMISSION
The budget follows your organisation's approval workflow. A pending budget may not be available for use. After approval, monitor the budget record for allocations, committed spend, actual spend and remaining balance.
COMMON PROBLEMS
- Create Budget is missing: your role may not include budget administration.
- Department or project is missing: confirm that it exists, is active and is available to your organisation.
- Available amount looks wrong: review the budget period and transactions attached to the record.
- A request cannot proceed: confirm that the budget is approved and has enough available balance.
