Spendive Inventory helps your organisation manage its product catalogue, warehouse stock, quantity corrections, and movements between locations. The actions available depend on your role.
Main Inventory areas
Products
Open Inventory > Products to search the catalogue, create products, filter records, import or export data, and review product status. The Products page also includes:
- Units: available units of measure and the Add Unit action.
- Import History: results of previous bulk product imports.
Open a product to review Overview, ERP Mapping, Budget, Usage History, Audit Trail, and Inventory. The Inventory tab shows On Hand, Reserved, and Available quantities by warehouse.
Warehouses
Open Inventory > Warehouses to review locations, stock, movements, analytics, and transfers. Stock adjustments do not appear as a separate menu. To correct a quantity, open the relevant warehouse and select Adjust Stock.
Stock Transfers
Open Inventory > Stock Transfers to create and track movements between warehouses. Transfer statuses can include Pending, Approved, Completed, and Declined, depending on your organisation's process.
For requesters
A requester normally asks for an inventory item through the Requests area rather than changing stock directly. See How to create an item request for the requester flow. Inventory administrators maintain the catalogue and warehouse records that support those requests.
Key quantity terms
- On Hand: physical quantity recorded at the warehouse.
- Reserved: quantity committed to an open request or process.
- Available: quantity that can still be issued or used.
- Reorder Level: threshold used to identify products that may need replenishment.
Choose the correct action
- New catalogue item: Create Product.
- New storage location: Create Warehouse.
- Verified count difference: open the warehouse and use Adjust Stock.
- Movement between Spendive warehouses: Create Transfer.
- Staff member needs an item: create an item request.
- Quantity investigation: review warehouse Stock, Movements, and Transfers before correcting anything.
Inventory control principles
- Search before creating products, units, or warehouses to avoid duplicates.
- Use transfers instead of unrelated adjustments for movements between locations.
- Add clear reasons and supporting references to manual corrections.
- Separate physical counting, review, and approval where your policy requires it.
- Review low-stock, out-of-stock, and movement information regularly.
