Why can't I see a feature?
If an article describes a menu item or button you cannot find, the usual cause is your role rather than a fault.
Spendive shows different menus to different roles
The sidebar is built from your permissions. An employee and an administrator signed into the same organisation see genuinely different applications.
What employees see
Requests — all five request types
Expenses — My Wallet, Cards, Expense Reports
Projects, Insights, Vendors
Procurement — Approval In Principle only
What employees do not see
Budget, Accounting, Wallet, Users, Reports and Marketplace
The rest of Procurement — RFQs, Purchase Orders, Goods Received Notes, Debit Notes, Contracts and Bills
Stock Transfers under Inventory
Approvals & Delegations, Roles And Permissions, User Groups, Locations and Audit Logs under Administration
You also only see your own records
Request lists are scoped to you. Where an administrator sees every request in the organisation, you see the ones you raised. A count that looks wrong is usually this, not a bug.
What to do
Check you are in the right organisation — the name and code are at the top of the sidebar.
Check the article is describing the employee view rather than the administrator view.
Ask your Spendive administrator to review your role under Administration → Roles And Permissions.
Note: Spendive ships with 14 roles, including Employee (Requester), Department Head, Procurement Officer, Accountant, Auditor and Budget Analyst. Each grants a different set of pages, so ask which one you have been given.
Tracking requests and approvals
Every request you raise moves through the same tracking pattern, whatever its type.
Overview and Action Required
Each request page has two tabs. Overview lists your records with summary cards counting the total, pending, approved and declined. Action Required shows anything waiting on you — check it first.
Finding a record
Use Search above the list, and Filter to narrow by status or date. Item Requests, Cash Requests and Reimbursement also offer Export. Press Ctrl+K (Cmd+K on Mac) from anywhere to jump straight to a record.
What an open request shows
An approval progress bar, such as Approval 1/1, showing who has acted and when.
A Comments & Notes thread with a timeline of every action — created, submitted, approved — each timestamped.
Request details: reference, status, type, priority, department, location, required-by date and requested date.
Requester information: name, email, phone and department.
Statuses
Pending — submitted and waiting on an approver.
Approved — cleared by every required approver.
Declined — rejected. The comments thread explains why.
Pending Payment — approved, but the money has not gone out yet.
Note: Approval and payment are separate steps. An approved request is not necessarily a paid one.
If a request is stuck
A request stays pending until every required approver has acted. Check the approval progress bar to see who it is waiting on. If you cannot create or approve a request at all, your role may not include it.
What the standard requester profile includes
A standard Employee (Requester) can use the personal dashboard and Quick Actions, create Item, Cash, Payment, Reimbursement, Purchase, and Expense Report records, and open My Wallet and Cards. The profile can view Approval in Principle records used for controlled purchasing, but it does not receive the full procurement-processing, inventory-management, accounting, budget, wallet-administration, or organisation-configuration menus.
If a page is missing, first confirm the active company and the role shown on the profile. A missing Create, Approve, or administrative action usually reflects permissions or record ownership rather than a loading fault.
