How to create and track requests in Spendive

Requests is where you ask for something that costs money. Spendive has five request types, each with its own form and approval path.

The five types

Item Requests - draw stock that already exists in your organisation's inventory. You pick items from a warehouse rather than buying anything new.
Cash Requests - ask for cash before you spend it.
Payment Requests - ask the business to pay one or more third parties directly by bank transfer.
Reimbursement - claim back money you have already spent.
Purchase Requests - buy goods or services that are not held in stock.

Raising a request

1. Open Requests in the sidebar and choose the type you need.
2. Select the Create button for that type.
3. Complete the form. Fields marked with a red asterisk are required.
4. Submit.

The forms differ. Cash Requests show a Readiness percentage that fills in as you complete Amount, Reason, Date and Category. Payment Requests let you add several recipients to a single request. Item Requests ask you to choose a warehouse and delivery location.

Tracking a request

Every request page has two tabs. Overview lists your records, with summary cards counting the total, pending, approved and declined. Action Required shows anything waiting on you.

Use Search to find a record and Filter to narrow by status or date. Item Requests, Cash Requests and Reimbursement also offer Export.

Opening a request shows its full history: an approval progress bar such as Approval 1/1, a comments and notes thread with a timeline of every action taken, the request details, and the requester's contact information.

Statuses

Pending - submitted and waiting on an approver.
Approved - cleared by every required approver.
Declined - rejected. The comments thread explains why.
Pending Payment - approved, but the money has not gone out yet. Approval and payment are tracked separately.

A request stays pending until every required approver has acted.

Reference numbers

Each request gets a reference: IR- for item requests, CR- for cash, PAYR- for payment, PR- for purchase. The middle number is your organisation code. Quote this reference when you contact support.

If you cannot create or approve a request, ask your administrator to check your role under Administration > Roles And Permissions.
