Audience: Requesters and approvers
Submitting a cash request
Use a cash request when you need money in advance of spending it.
Creating the request
Go to Requests → Cash Requests and select Create Cash Request.
Enter the Amount Needed — the total cash you need.
Enter a Reason for Request.
Set the Date Needed.
Choose an Expense Category so the request is classified correctly for accounting.
Select Submit Request.
The Readiness indicator
The panel on the right shows the request amount, the date needed and the category, plus a Readiness percentage. It fills in as you complete the four required pieces — Amount, Reason, Date and Category — so you can see at a glance whether the request is ready to submit.
Note: A cash request starts as a Draft. It is not visible to approvers until you submit it.
Tracking your request
The Cash Requests page counts Total Cash Requests, Approved Requests, Pending Requests and Declined Requests. The list shows the requester, request ID, amount, category, status and creation date. Search, Filter and Export sit above the list. Reference prefix CR-.
Submitting a payment request
Use a payment request to ask the business to pay one or more third parties directly by bank transfer.
Creating the request
Go to Requests → Payment Requests and select Create Payment Request.
Leave Payment Request Number blank to have one generated, or enter your own.
Choose a Request Type (required).
Enter a Title / Description (required) — what the payment is for.
Add Additional Notes if they give the approver useful context.
Set the Required Payment Date and Priority. Priority defaults to Normal.
Add your recipients.
Select Create payment request.
Request types
Choose the type that matches the payment: Merchant Payment, Employee Reimbursement, Advance Settlement, Utility Payment, Tax Payment, Payroll Adjustment, Refund, Intercompany or Other.
Adding recipients
One request can pay several people. Select Add recipient for each one and complete:
Bank (required)
Account Number (required, 10 digits)
Amount (required)
Category
Project (optional)
Vendor (optional)
Note
The running Total updates as you add recipients.
What happens next
Opening a submitted request shows the total amount and how many recipients it covers, an Approval Progress bar such as Approval 1/1, and a Comments & Notes thread recording every action taken with its timestamp. The details panel lists the Request ID, Status, Request Type, Priority, Department, Location, Required By and Requested Date, alongside the requester's contact information.
Note: A payment request can show the status Pending Payment. This means it has been approved but the money has not yet gone out — approval and payment are tracked separately.
