Making an inventory adjustment
Use a stock adjustment when the quantity recorded in Spendive does not match the physical quantity in a warehouse. Typical reasons include a physical count variance, damaged items, opening balances, or another correction that is not a warehouse transfer.
Who can do this
You need permission to manage inventory and access the warehouse. If Adjust Stock is not available, ask your Spendive administrator to review your role.
Before you start
Confirm the product, warehouse, physical quantity, and reason for the change. For a movement between two warehouses, use a stock transfer instead.
Steps
1. Sign in to the Spendive admin workspace.
2. Open Inventory, then Warehouses.
3. Select the warehouse whose stock needs to be corrected.
4. On the warehouse page, select Adjust Stock.
5. Under Adjustment Type, choose:
- Increase — adds stock to the warehouse.
- Decrease — removes stock from the warehouse.
6. In Product, search for and select the item.
7. Enter the Quantity to add or remove. Enter a positive number; the adjustment type controls the direction.
8. In Reason / Notes, record a clear explanation, such as Physical recount, Damage write-off, or Opening balance correction.
9. Select Review Adjustment.
10. Review the warehouse, product, direction, quantity, and reason carefully, then confirm the adjustment.
After the adjustment
Open the warehouse Stock or Movements tab to confirm the updated quantity and movement record. Keep the supporting count sheet, damage report, or approval reference with your inventory records.
Important controls
- Do not use an adjustment to move stock between warehouses; create a stock transfer.
- Do not enter a negative quantity. Choose Increase or Decrease instead.
- Investigate large or repeated variances before confirming them.
- Use specific notes so another reviewer can understand why the stock changed.
- Separate the person performing the count from the person reviewing material corrections where your policy requires it.
Troubleshooting
- Adjust Stock is missing: confirm that you opened an individual warehouse and that your role can manage inventory.
- Product is missing: confirm that the product is active and available for inventory use.
- Quantity cannot be accepted: check that the value is greater than zero and that enough stock is available for a decrease.
- Stock appears unchanged: refresh the warehouse and review its Stock and Movements tabs.
