Reviewing warehouse stock and movements

Reviewing warehouse stock and movements

Use the warehouse record to understand stock held at a location, investigate quantity changes, monitor transfers, and identify inventory risks.

Open a warehouse

1. Sign in to the Spendive admin workspace.
2. Open Inventory, then Warehouses.
3. Search for or select the warehouse you want to review.
4. Confirm the warehouse name, code, location, status, and description.

Use the warehouse tabs

Overview

The Overview tab provides a summary of warehouse health. It can include Total Stock Value, Total SKUs, Low Stock, Out of Stock, Stock Turnover, stock-in versus stock-out activity, top-moving products, and alerts. Use the date controls to change the reporting period where available.

Stock

Use the Stock tab to review the products held at the warehouse and their current quantities. Compare this information with a physical count when investigating a variance.

Movements

Use the Movements tab to trace stock increases, decreases, and other recorded changes. Review the product, quantity, direction, date, user, and reference available on each movement.

Analytics

Use Analytics for trends and warehouse-level stock analysis. Watch for repeated corrections, unusually high movement, or slow-moving stock.

Transfers

Use Transfers to review movements into and out of the warehouse. Open the related transfer when you need its products, quantities, notes, or status.

Available actions

- Adjust Stock: correct a verified quantity difference at this warehouse.
- Edit: update warehouse details.
- Deactivate: prevent future use of a warehouse that is no longer operational, subject to your organisation's controls.

Investigation checklist

- Confirm you selected the correct warehouse and product.
- Compare On Hand, Reserved, and Available quantities where shown.
- Review recent movements and transfers before making an adjustment.
- Check whether a transfer is still Pending, Approved, or not yet Completed.
- Compare Spendive with the latest signed physical count or receiving record.
- Record the cause and supporting reference for any correction.
