Setting up a warehouse

Create a warehouse to represent a physical location where your organisation stores and manages inventory. Warehouses are used for stock visibility, adjustments, and transfers.

Who can do this

You need permission to manage Inventory warehouses. If Create Warehouse is not visible, ask your Spendive administrator to review your role.

Before you start

Confirm the official warehouse name, location, and a short description. Check the existing Warehouses list first to avoid creating the same location twice.

Steps

1. Sign in to the Spendive admin workspace.
2. Open Inventory, then Warehouses.
3. Select Create Warehouse.
4. Enter the Warehouse Name. Use a name staff will recognise in requests, adjustments, and transfers.
5. Select the Location from the available warehouse locations.
6. Enter a Description that explains the site, coverage, or purpose.
7. Review the information and select Save Warehouse.

After saving

Open the warehouse record to review its details and operational tabs:

- Overview: warehouse health, stock value, SKU counts, alerts, and recent activity.
- Stock: products and quantities held at the warehouse.
- Movements: stock increases, decreases, and other movement records.
- Analytics: warehouse-level stock analysis.
- Transfers: transfers involving this warehouse.

From the warehouse page, authorised users can also select Adjust Stock to correct inventory quantities, Edit to update the warehouse, or Deactivate when the location should no longer be used.

Good practice

- Use one consistent naming convention across all warehouse locations.
- Select the correct location before stock is added.
- Add a useful description, especially where several warehouses serve the same city.
- Review stock and open transfers before deactivating a warehouse.
- Do not create another warehouse merely to correct a stock quantity; use Adjust Stock instead.

Troubleshooting

- Create Warehouse is missing: confirm that your role can manage inventory setup.
- Location is not available: ask an administrator to add or activate the required location.
- Warehouse already exists: search by name and location before creating a duplicate.
- Warehouse cannot be deactivated: resolve remaining stock or transfers according to your organisation's process.
