How to create a payment request

Audience: Requesters

Use a payment request to ask the business to pay one or more third parties directly by bank transfer.

Creating the request

Go to Requests → Payment Requests and select Create Payment Request.

Leave Payment Request Number blank to have one generated, or enter your own.

Choose a Request Type (required).

Enter a Title / Description (required) — what the payment is for.

Add Additional Notes if they give the approver useful context.

Set the Required Payment Date and Priority. Priority defaults to Normal.

Add your recipients.

Select Create payment request.

Request types

Choose the type that matches the payment: Merchant Payment, Employee Reimbursement, Advance Settlement, Utility Payment, Tax Payment, Payroll Adjustment, Refund, Intercompany or Other.

Adding recipients

One request can pay several people. Select Add recipient for each one and complete:

Bank (required)

Account Number (required, 10 digits)

Amount (required)

Category

Project (optional)

Vendor (optional)

Note

The running Total updates as you add recipients.

What happens next

Opening a submitted request shows the total amount and how many recipients it covers, an Approval Progress bar such as Approval 1/1, and a Comments & Notes thread recording every action taken with its timestamp. The details panel lists the Request ID, Status, Request Type, Priority, Department, Location, Required By and Requested Date, alongside the requester's contact information.

Note: A payment request can show the status Pending Payment. This means it has been approved but the money has not yet gone out — approval and payment are tracked separately.

Before you start

Use a payment request when the organisation will pay one or more recipients directly. Have the request type, payment date, bank details, amounts, and supporting context ready.

Steps

Open Requests → Payment Requests and select Create Payment Request . Leave the request number blank for automatic generation, or enter an approved external reference. Select the request type, enter the title or description, and add optional notes. Set the required payment date and priority. Add each recipient with bank, 10-digit account number, amount, category, optional project, optional vendor, and note. Check the running total and select Create payment request .

After approval, the status may read Pending Payment until funds are released.

Need help? If the page, field, or approval action is missing, confirm the active organisation and ask an administrator to check your role and permissions. Quote the record reference when contacting support.
