How to create an item request

Audience: Requesters and inventory teams

Use an item request to draw goods your organisation already holds in stock. Nothing is bought — stock moves from a warehouse to you.

When to use it

Item requests only cover things already in inventory. There is no free-text option: if what you need is not held in stock, raise a Purchase Request instead.

Creating the request

Go to Requests → Item Requests and select Create Item Request.

Line Items — choose Add from Inventory and pick what you need.

Warehouse & Delivery Location — select the warehouse to source from and where the items should go.

Select Submit Item Request, or Cancel to abandon it.

Tracking your request

The Item Requests page counts Total Item Requests, Pending Requests, Approved Requests and Declined Requests. The list shows requester, request ID, status, amount and creation date. Search, Filter and Export sit above the list. Reference prefix IR-.

Before you start

Use an item request only for products already held in inventory. Use a purchase request when the product is not available in the catalogue or must be bought.

Steps

Open Requests → Item Requests and select Create Item Request . Select Add from Inventory and choose each required product and quantity. Select the source warehouse. Complete any delivery information that appears for the selected items and account. Review the lines and select Submit Item Request .

If a product or warehouse is missing, confirm the product is active, stock is available, and the warehouse is linked to a Warehouse-type location.
