Using projects to organise spend

  Audience: Project owners, requesters, and administrators 
 Projects group spending around an initiative so you can see what a piece of work is costing. 
 Finding projects 
 Projects sits in the left sidebar. The Overview tab counts Total Projects, Active Projects, Pending Projects and Declined Projects. Action Required shows anything waiting on you. Search, Filter, Import and Export sit above the list. 
 Creating a project 
 Create Project opens a six-step wizard. You can come back and edit later. 
 
 Project Info — Project Name (required), Description, Department, Project Owner, Start Date, End Date and Priority, which defaults to Medium. Name, start date and end date are required before you can continue. 
 Budget — set the money available to the project. 
 Work Plan — break the project into tasks. 
 Members — add the people involved. 
 Attachments — upload supporting documents. 
 Review and Submit — check everything, then submit. 
 
 Tagging spend to a project 
 Once a project exists it appears in the project selectors on other forms. On a purchase request line item, use the Task / Project column. On a payment request recipient, Project is an optional field. 
  Note: Tagging is what makes project reporting meaningful. Spend that is not tagged will not appear against the project. 
 Statuses 
 
 Active — approved and running. 
 Pending — submitted and awaiting approval. 
 Declined — rejected. 
 
 Tips 
 
 Use a name every stakeholder will recognise. 
 Set realistic start and end dates; you can adjust them later. 
 Assign an owner early so accountability is clear. 
 If you cannot see a project in a selector, check that it is active and that you have access to it.
