Creating a product

Create a product to add an item to Spendive's inventory catalogue. Products can then be stocked in warehouses, selected in transfers and adjustments, and used in inventory-related requests.

Who can do this

You need permission to manage Inventory products. If Create Product is not visible, ask your Spendive administrator to review your role.

Before you start

Search the Products list by product name, SKU, or barcode to avoid duplicates. Gather the unit of measure, category, pricing, tax and accounting details that your organisation requires.

Steps

1. Sign in to the Spendive admin workspace.
2. Open Inventory, then Products.
3. Select Create Product.
4. Complete Basic Information:
- Product Name
- Product Type
- SKU — leave blank if you want Spendive to auto-generate it
- Brand
- Description
- Unit of Measure
- Barcode
- Product Images — JPG, JPEG, or PNG; each image must be under 5 MB; maximum 5 images
5. Under Category Intelligence, select the Category. Use Override Category Rules only when your role and policy permit an exception.
6. Complete Pricing & Procurement as required:
- Cost Price
- Selling Price
- Default Vendor
- Reorder Level
7. Complete Tax & Accounting as required:
- Applicable Taxes
- GL Account
- Expense Account
- Revenue Account
8. Under Project Linkage, turn on Allow Project Association if the product may be linked to projects.
9. Review Advanced Settings where applicable:
- Category Hierarchy
- ERP Account
- Budget Impact
- Usage Context
10. Select Create Product to save, or Save Draft if the record is not ready for use.

After saving

Open the new product and review its Overview, ERP Mapping, Budget, Usage History, Audit Trail, and Inventory tabs. The Inventory tab shows On Hand, Reserved, and Available quantities by warehouse.

Understanding the Products page

- Total Products: all product records.
- In Stock: products with available stock.
- Low in Stock: products at or below their configured threshold.
- Out of Stock: products with no available stock.
- Units: units of measure available to products.
- Import History: results of previous bulk imports.
- Import: add many products from a supported file.
- Export: download the catalogue for review or reporting.

Good practice

- Use a clear, searchable name and a consistent SKU convention.
- Select the correct unit before inventory activity begins; changing it later can confuse quantities.
- Add a category so relevant rules and mappings can apply.
- Set a realistic Reorder Level for products that must be replenished.
- Complete accounting and ERP mappings according to your finance controls.

Troubleshooting

- Product already exists: search by name, SKU, and barcode before creating another record.
- Unit is missing: create or activate the unit on the Units tab, then return to the form.
- Category warning appears: select a Category or confirm that an authorised override is appropriate.
- Product cannot be selected elsewhere: confirm that the product was created rather than left as a draft.
