Funding the company wallet

Finance administrators can use Fund Wallet to add money to the Spendive company wallet before payments and transfers are initiated.

Who can do this

You need permission to fund the company wallet and access to an approved payment method. Funding should follow your organisation's treasury and approval controls.

Before you fund

- Confirm the amount required for upcoming approved payments.
- Review Available Balance, pending transfers, and the expected payment run.
- Confirm the funding source and the person authorised to use it.
- Avoid adding funds solely because a transaction is Pending; first check whether the balance is already held.

Add funds

1. Open Wallet.
2. Review the current Available Balance.
3. Select Fund Wallet.
4. Enter the Amount or select one of the available preset amounts.
5. Under Payment method, choose the approved funding method available to your organisation.
6. Review the amount and payment method.
7. Select Pay now.
8. Complete any confirmation or verification required by the selected payment method.

After funding

Return to Wallet and check Transaction History. A successful funding transaction appears as a Credit and increases the wallet balance. Record the transaction ID with the funding approval and external payment reference.

Controls and good practice

- Fund only from an approved company source.
- Match the amount to a forecast payment requirement.
- Use separate people for funding approval and payment execution where required.
- Reconcile the funding credit to the external bank or card record.
- Investigate duplicate, failed, or pending credits before trying again.
- Never share payment credentials or one-time codes.

Troubleshooting

- Pay now does not proceed: enter an amount and select a payment method.
- Balance does not update: check Transaction History and refresh only after the transaction status changes.
- Funding is Pending: verify the external payment status before retrying.
- Duplicate credit appears: stop further funding and begin reconciliation.
- Payment method is unavailable: ask the wallet or treasury administrator to review organisation setup.
