Using your Spendive wallet
The Spendive wallet is where authorised users view available funds, send transfers, and track money moving into and out of the organisation.
Who sees the wallet
- Employees may see My Wallet, depending on their role and organisation setup.
- Finance administrators use Wallet in the main sidebar to manage the company wallet.
- Funding, payment, transfer, and beneficiary permissions are controlled by role and policy.
What the wallet page shows
- Wallet ID: the unique identifier for the wallet.
- Available Balance: funds currently recorded in the wallet.
- Total Deposits: money added to the wallet.
- Total Payouts: money paid out.
- Spendable now: balance remaining after amounts held by pending transfers.
- Transaction History: credits, debits, references, statuses, and dates.
- Beneficiaries: saved bank recipients for future transfers.
- Inbox: wallet-related messages or actions available to your role.
Main wallet actions
- Fund Wallet: add money using an available payment method.
- Transfer: send one payment to a bank account or saved beneficiary.
- Bulk Transfer: send a batch using manual rows or a CSV file.
Choose the right payment route
Use Wallet > Transfer when you are making a standalone direct transfer. Use Accounting > Expense Payments when paying an approved cash, payment, or reimbursement request. Use Accounting > Bill Payments for an uploaded supplier bill or vendor advance. Starting from the correct module preserves the source reference and audit trail.
For employees
Use your wallet to view funds and permitted activity. If you are waiting for an approved request to be paid, track the original request; finance normally releases the payment from Expense Payments.
For finance administrators
Before sending money, confirm the purpose, category, project, recipient, available spendable balance, and required approval. Pending wallet transfers may reduce what is available even when the headline balance appears sufficient.
Transaction statuses
- Successful: the transaction completed.
- Pending: processing has not finished; do not retry until you check the latest status.
- Failed or Reversed: review the details and follow your organisation's retry or reconciliation process.
Safety checklist
- Verify bank and account details before confirming.
- Search Beneficiaries before creating a duplicate.
- Use the correct category and project for reporting.
- Add a useful description or payment reference.
- Review Transaction History before retrying a payment.
- Never share wallet credentials or one-time verification codes.
