Reviewing wallet transactions and beneficiaries
Use Transaction History to confirm money movement and Beneficiaries to maintain verified bank recipients for future transfers.
Review Transaction History
1. Open Wallet.
2. Select Transaction History.
3. Use Search or Filter to find a payment by description, amount, transaction ID, status, or date.
4. Review:
- Description
- Amount
- Type: Credit or Debit
- Transaction ID
- Status
- Date
5. Open the transaction's Actions menu when more detail is available.
6. Match the transaction to its source request, bill, transfer schedule, or funding record.
How to interpret transactions
- Credit: money added to the wallet.
- Debit: money sent or paid from the wallet.
- Successful: completed.
- Pending: still processing; the amount may reduce Spendable now.
- Failed or Reversed: not completed as intended and requires review.
Do not retry a Pending debit until you confirm its final status. Retrying too early can cause a duplicate payment.
Create a beneficiary
1. Open Wallet and select Beneficiaries.
2. Search for the recipient first.
3. Select Create Beneficiary.
4. Select the Bank Name.
5. Enter the 10-digit Account Number.
6. Enter a clear Alias, such as the vendor or office name.
7. Wait for any account verification shown by Spendive.
8. Confirm the resolved account name using your organisation's bank-detail verification process.
9. Select Save Beneficiary.
Use beneficiaries safely
- Save only verified recipients that are likely to be used again.
- Use a recognisable alias; do not rely on an account number alone.
- Search before adding another beneficiary.
- Reverify bank details after any supplier or employee change request.
- Remove or stop using obsolete recipients according to your access policy.
- A saved beneficiary does not replace payment approval.
Reconciliation checklist
- Match each debit or credit to a source document.
- Compare the wallet transaction ID with external bank or payment records.
- Investigate pending items before the next payment run.
- Check that manual payments are not also represented as wallet debits.
- Escalate duplicate, unexplained, or reversed transactions promptly.
Troubleshooting
- Beneficiary cannot be saved: complete Bank Name, Account Number, and Alias.
- Account cannot be verified: recheck the bank and account number; do not guess.
- Transaction is missing: remove filters and search by transaction ID or date.
- Balance differs from expected: include pending-transfer holds and reconcile all credits and debits.
- Duplicate beneficiary exists: use the verified record and follow your process to remove the duplicate.
